TERMS & CONDITIONS

By making a booking with The Horsebox Spa Ltd, you confirm that you have read, understood and agreed to these Terms of Service. Please check this page regularly as terms are subject to change.

1. SCOPE OF SERVICE

The Horsebox Spa provides mobile wellbeing treatment services. Our services include sheath cleaning, mare hygiene, equine dry salt therapy, horse weighing and body condition scoring, weight consultations, Ride-A-Weigh, Drive-A-Weigh, and wellbeing consultations.

We do not diagnose, advise on or treat medical conditions. If you have any health concerns about your horse, please consult your vet.

2. BOOKING (VIEW, NEW, UPDATE, CANCEL)

The Horsebox Spa has a fully automated online booking system (www.thehorseboxspa.co.uk) and we only accept bookings via this route. 

The booker is responsbible for ensuring that their booking details are correct and kept updated. 

Please do not send direct messages unless your appointment time has already been issued.

Please double-check your booking confirmation email carefully. Common errors include entering your home postcode instead of your yard postcode, selecting the wrong date, or booking the wrong zone.

3. YARD MANAGER'S CONSENT

Service is subject to prior consent from the yard manager or landowner. It is your responsibility to obtain this consent before booking.

4. ACCESS REQUIREMENTS

You are responsible for ensuring we have:

  • Safe and adequate vehicle access to the yard

  • Access to mains electricity (for salt therapy treatment only)

For safety reasons, children and dogs are not permitted in the working area during treatment. Only Allie and the horse's handler may be present during treatment.

5. OUT OF ZONE CALL OUT CHARGE (OOZC)

5.1 A £50 out-of-zone charge applies to bookings outside our main route, for example:

  • Emergency call out

  • The salt therapy course consists of one treatment per day over 3 consecutive days. On 2 of those days an out-of-zone charge(OOZC) of £50 per day is applied, totalling £100.On your zone day, there is no OOZC as we are in your area. On the other 2 days, because we have to travel outside our normalworking area to reach you, this increases our travel costs (fuel, vehicle wear and tear), plus additional time on the road is time awayfrom other appointments. Because the treatment price does not cover these hidden business costs, the OOZC helps cover thesecosts.

5.2 Zone day appointments are EXCUDED.  Treatment price only

6. YARD VISIT MINIMUM SPEND

6.1  £35 minimum spend per yard visit on zone days.  In rare instances where The Horsebox Spa is unable to treat (proceeding presents a health and safety risk or the horse becomes too distressed), then you will not be charged for that treament but the minimum charge must still be met.

For example:

Yard 1:   1 sheath clean booked (price £35).  Unable to treat - no charge. Minimum spend is still chargeable to cover our costs and time to attend. 

Yard 2:  2 sheath cleans booked (price £70). Unable to treat 1 horse, the other horse was treated - £35 charged.  Minimum spend not charged as covered by the treatment.

6.2  £300 minimum per per yard visit on non-zone days

7. YARD ORGANISER DISCOUNTS

7.1 Discounts are applied based on the number of completed treatments on the day (which may differ from the number of treatments booked) Completed meaning charged and paid for.  If The Horsebox Spa is unable to complete a treatment, for example, due to a horses behaviour then that treament is not included in 'the number of completed treatments'.

7.2 Discounts:

  • 8 or more horses: 50% off the average treatment price for the yard organiser's horse only.

  • 10 or more horses: 100% off the average treatment price for the yard organiser's horse only.

  • £400 or more total yard spend: 10% off all treatments

8. HORSE REGISTRATION & HEALTH INFORMATION 

8.1 All horses must be registered before their appointment. When registering a horse, you are responsible for providing accurate and complete information including the horse's known medical history, existing conditions, allergies, behavioural concerns and any veterinary advice that may affect the services provided.

8.2 This includes, but is not limited to, conditions such as laminitis, Equine Metabolic Syndrome (EMS), Cushing's disease (PPID), insulin resistance, chronic pain conditions, recent injuries, pregnancy and any condition that may affect the horse's safe handling or the suitability of any treatment or weight recommendation.

8.3 The Horsebox Spa cannot be held liable for any adverse outcome, injury or health complication arising from incomplete, inaccurate or withheld information. If we are not made aware of a relevant condition, any guidance we provide  including ideal weight targets, body condition scores, exercise suggestions or treatment plans is given in good faith based solely on the information available to us at the time.

8.4 Weight guidance, body condition scores and wellbeing recommendations provided by The Horsebox Spa are for informational purposes only and do not constitute veterinary advice. You should always consult a qualified veterinarian before making significant changes to your horse's diet, exercise or management regime, particularly where underlying health conditions are present.

8.5 If you are registering or updating details for a horse that you do not own, you confirm that you have obtained the owner's explicit consent to do so and that the owner has been made aware of these Terms & Conditions and our Privacy Policy. You accept responsibility for the accuracy and completeness of the information you provide on their behalf.

9. YARD ORGANISER RESPONSIBILITIES 

9.1 Where a yard organiser books a visit or registers horses on behalf of multiple owners, the yard organiser is responsible for ensuring that each horse owner has been made aware of the booking, these Terms & Conditions, and our Privacy Policy.

9.2 A yard organiser must not submit personal data (names, email addresses, phone numbers) of any individual without that individual's prior consent. By submitting another person's data to us, the yard organiser confirms they have obtained that consent.

9.3 The Horsebox Spa accepts no liability for any breach of data protection law arising from a third party submitting personal data without the appropriate consent. Responsibility for obtaining that consent lies solely with the person who submitted the data.

10. CANCELLATION & RESCHEDULING POLICY (OR SECTION 11 FOR DRY SALT THERAPY COURSE CANCELLATION POLICY)

10.1 We understand that circumstances change. Our cancellation structure reflects the time we invest in planning your week’s route once the Sunday 18:00 cut-off has passed

 

Tier 1:  Cancellation or change before the Sunday 18:00 cut-off 

Applies to entire booking as well as individual treatments removed

Free. Please cancel or change online as early as possible so the slot can be offered to someone else. You may also change your date, treatments, or yard freely during this window.  The cut off is by 18:00 on the Sunday before your booking appointment.  You will find this on any booking receipt or by logging into your account.

Tier 2:  Cancellation after routes are planned, but more than 48 hours before your appointment

This tier applies to entire booking as well as individual treatments removed

A charge of 50% of your booking value applies. Appointments have been planned for the week and other yards have received their appointment times. Late cancellations leave a gap in our route that is difficult to fill, and rescheduling is time-intensive for other yards who have already received their times.

You will see an on-screen warning before you confirm. If you back out, your booking stays in place. If you proceed, an email will be sent with a secure Stripe payment link for the 50% amount.

Tier 3:  No show or cancellation within 48 hours of your appointment

This tier applies to entire booking as well as individual treatments removed

A charge of 100% of your booking value applies. Your appointment slot cannot be reallocated at this short notice.

You will see an on-screen warning before you confirm. If you back out, your booking stays in place. If you proceed, an email will be sent with a secure Stripe payment link for the full amount.

Tier 4:  Welfare and compassionate cancellations

No cancellation fee will be charged where cancellation is due to:

  • Horse PTS (put to sleep)

  • Biosecurity lockdown at the yard (including notifiable diseases such as equine influenza, and non-notifiable diseases such as strangles), subject to evidence.

Where biosecurity is cited, we require supporting evidence from your veterinary practice. This may include a vet’s letter, an email confirming the outbreak, or an invoice for treatment relating to the disease. Once satisfactory evidence is received, any cancellation charge will be refunded in full.

10.2 Treatment amendments after the Sunday 18:00 cut-off

Removing individual treatments after cut-off is treated the same as a cancellation of those specific treatments, at the tier in force at the time (50% or 100% of the removed treatment value).

Adding weighs is always allowed if the weighbridge is already set up

Adding any other treatment after the cut-off is subject to capacity on the day. We will accommodate where we can, but this cannot be guaranteed.

10.3 Yard organiser, livery dropout

Where a yard organiser has booked on behalf of multiple liveries and a livery drops out, the organiser will not be charged for the dropped livery’s treatments. This applies to treatment reductions only. Cancellation of the organiser’s own treatments, or cancellation of the entire visit, is charged under the standard tier rules above.

10.4  Non-payment of cancellation fees

Cancellation payment links expire after 7 days. If the fee remains unpaid after a follow-up reminder, future bookings from the same email address will be blocked until the outstanding amount is settled. Horse registration is not affected.

10.5. Cancellation by The Horsebox Spa 

If we need to cancel your appointment due to weather, vehicle issues, illness, or an emergency, we will offer you the next available slot at no additional cost, or a full refund of any fees already paid for that appointment.

11. DRY SALT THERAPY COURSE CANCELLATION & RESCHEDULING POLICY 

11.1 Dry Salt Therapy courses have a separate cancellation policy to single-day bookings due to the 3-day commitment involved.  Course dates are committed at booking and cannot be changed. The only exception is a yard move that forces a zone change, in which case the deposit may transfer to new dates provided the change is made before the Sunday 18:00 cut-off. After the cut-off, the full cancellation policy applies.

Tier 1:  Cancellation or change before the Sunday 18:00 cut-off 

You may cancel the course. The 50% deposit is forfeited (non-refundable and non-transferable). No additional charge applies.

Tier 2:  Cancellation after the Sunday 18:00 cut-off 

The full course amount is payable (including any out-of-zone charges and any additional treatments booked), minus the deposit already paid. A secure Stripe payment link will be sent for the outstanding balance.

Tier 3:  Welfare and compassionate cancellations

No cancellation fee will be charged where cancellation is due to:

  • Horse PTS (put to sleep)

  • Biosecurity lockdown at the yard (including notifiable diseases such as equine influenza, and non-notifiable diseases such as strangles), subject to evidence.

11.2. Cancellation by The Horsebox Spa

If we need to cancel your Dry Salt Therapy course due to weather, vehicle issues, illness, or an emergency, we will offer you a full refund or rescheduled dates, whichever you prefer.

12. DRY SALT THERAPY COURSE  - DEPOSIT

12.1  A non-refundable 50% deposit is required to secure your Dry Salt Therapy course dates. The deposit covers your 3 salt therapy sessions only and excludes out-of-zone charges.  Course dates are not held or confirmed until the deposit is received.

12.2 Payment for the deposit is taken online via a secure Stripe payment link at the point of booking. If payment is declined or not completed, no booking is created and your provisional dates are released.

12.3 The deposit is non-refundable and non-transferable.  Exceptions:

  • Section 11.1

  • Section 11.1 Tier 3

  • Section 11.2

13. DRY SALT THERAPY COURSE - OUT OF ZONE CALL OUT CHARGE (OOZC)

See section 5.1

14. DRY SALT THERAPY COURSE – PAYMENT 

The remaining balance, together with any out-of-zone charges and any addtional treatments booked is payable on the final day of treatment.

If.  If you have booked additional treatments on behalf of other liveries, payment for those treatments are due on the day.

15. DRY SALT THERAPY COURSE - FACILITY REQUIREMENTS

Dry Salt Therapy requires an enclosed space. Suitable facilities include stables, horseboxes, and trailers. Barns and American barns are not suitable.

You are responsible for ensuring:

  • The facility is accessible, and ready at your appointment start time on all 3 days.

  • The horse is available and ready at the appointment start time.

  • Any openings (top doors, windows, vents, grills) are covered before we arrive.

  • Access to mains electricity within 40 metres (a heater is required to maintain a dry atmosphere).

If electricity is not available, the treatment can still proceed on battery power, but you accept that results may vary depending on atmospheric conditions.

For horsebox and trailer treatments, salt is corrosive to metal surfaces. After each session you must wash down all interior surfaces with fresh water, leave doors and vents open to air dry fully, and not close the vehicle while wet. The Horsebox Spa accepts no liability for corrosion damage resulting from failure to follow aftercare instructions.

Trailers must be hooked up to a vehicle and in position before we arrive. We are not able to move trailers.

16. DRY SALT THERAPY COURSE - YOUR AVAILABILITY

Before booking the course we ask that you are available between 08:00 and 18:30 on all three days of your course. Appointmenttimes are confirmed on the Monday of your appointment week, once we have planned our routes and calculated timings at each yard.Until then we are regrettably unable to indicate times. If you cannot be present, please arrange for someone else to be there with thehorse and prepare the facility.

17. PAYMENT

Appointment payment is taken on the day of treatment. We accept cash and card only at the appointment. Strictly no bank transfers, due to the time cost of administering and chasing payments.

Deposits and cancellation or late-change fees are taken online via a secure Stripe payment link sent by email. Stripe is a PCI-DSS compliant payment processor and we do not store your card details.

18. ADVERSE WEATHER

For health and safety reasons, appointments may be cancelled or rescheduled at short notice where weather conditions are unsuitable for working safely outdoors or operating electrical equipment. This includes heavy rainfall, lightning, high winds and gusts, assessed at our discretion on a case-by-case basis. We will contact you as soon as possible in this event (also see sections 10.5 and 11.2).

19. DISEASE & BIOSECURITY

You must inform us in advance of your appointment if your horse or any horse at the yard has, or is suspected of having, a contagious disease. We reserve the right to cancel or reschedule without charge in these circumstances.

20. LIABILITY

20.1 The Horsebox Spa takes all reasonable care in providing its services. We are fully insured. We do not accept liability for incidents caused by a horse's behaviour, inadequate handling, or failure to disclose relevant health or temperament information prior to the appointment.

20.2 The Horsebox Spa shall not be liable for any adverse outcome arising from weight guidance, body condition scores or wellbeing recommendations where the horse owner or their representative has failed to provide complete and accurate health information at the time of registration or prior to the appointment.

20.3 Nothing in these Terms limits or excludes our liability for death or personal injury caused by our negligence, or for fraud or fraudulent misrepresentation.

21. GOVERNING LAW

These Terms of Service are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the English courts.

22. CHANGES TO THESE TERMS

We reserve the right to update these Terms at any time. Continued use of our services constitutes acceptance of the current Terms. We will flag material changes on our website.
