By making a booking with The Horsebox Spa Ltd, you confirm that you have read, understood and agreed to these Terms of Service. Please check this page regularly as terms are subject to change.

1. SCOPE OF SERVICE
The Horsebox Spa provides mobile wellbeing treatment services. Our services include sheath cleaning, mare hygiene, equine dry salt therapy, horse weighing and body condition scoring, weight consultations, Ride-A-Weigh, Drive-A-Weigh, and wellbeing consultations.
We do not diagnose, advise on or treat medical conditions. If you have any health concerns about your horse, please consult your vet.

2. BOOKING
All bookings, changes and cancellations must be made online. Please do not send direct messages unless your appointment time has already been issued.
Please double-check your booking confirmation email carefully. Common errors include entering your home postcode instead of your yard postcode, selecting the wrong date, or booking the wrong zone.

3. YARD MANAGER'S CONSENT
Service is subject to prior consent from the yard manager or landowner. It is your responsibility to obtain this consent before booking.

4. ACCESS REQUIREMENTS
You are responsible for ensuring we have:

Safe and adequate vehicle access to the yard

Access to mains electricity (for salt therapy treatment only)
For safety reasons, children and dogs are not permitted in the working area during treatment. Only Allie and the horse's handler may be present during treatment.

5. OUT OF ZONE CALL OUT CHARGE
£50

5A. SALT THERAPY COURSE – OUT-OF-ZONE CHARGE
Salt therapy courses run over 3 consecutive days across 3 separate zones. On 2 of the 3 days, we travel outside our main route to reach your yard. An out-of-zone charge of up to £50 per day applies on these 2 days.
The exact charge will be confirmed on the Monday before your course week. It may be less if your yard is on or near our route. We will reduce this wherever we can.
Out-of-zone charges are excluded from the deposit and are payable separately.

6. MINIMUM TREATMENT SPEND

Area Day: £35 minimum per yard visit

Private Yard Day: £300 minimum

7. YARD ORGANISER DISCOUNTS
Discounts are based on the number of horses booked from the same yard on the same day:

8 or more horses: 50% off one treatment for the yard organiser's horse
-
10 or more horses: one treatment FREE for the yard organiser's horse (up to £35 in value)
-
£400 or more total yard spend: 10% off all treatments

8. HORSE REGISTRATION & HEALTH INFORMATION
8.1 All horses must be registered before their appointment. When registering a horse, you are responsible for providing accurate and complete information including the horse's known medical history, existing conditions, allergies, behavioural concerns and any veterinary advice that may affect the services provided.
8.2 This includes, but is not limited to, conditions such as laminitis, Equine Metabolic Syndrome (EMS), Cushing's disease (PPID), insulin resistance, chronic pain conditions, recent injuries, pregnancy and any condition that may affect the horse's safe handling or the suitability of any treatment or weight recommendation.
8.3 The Horsebox Spa cannot be held liable for any adverse outcome, injury or health complication arising from incomplete, inaccurate or withheld information. If we are not made aware of a relevant condition, any guidance we provide — including ideal weight targets, body condition scores, exercise suggestions or treatment plans — is given in good faith based solely on the information available to us at the time.
8.4 Weight guidance, body condition scores and wellbeing recommendations provided by The Horsebox Spa are for informational purposes only and do not constitute veterinary advice. You should always consult a qualified veterinarian before making significant changes to your horse's diet, exercise or management regime, particularly where underlying health conditions are present.
8.5 If you are registering or updating details for a horse that you do not own, you confirm that you have obtained the owner's explicit consent to do so and that the owner has been made aware of these Terms & Conditions and our Privacy Policy. You accept responsibility for the accuracy and completeness of the information you provide on their behalf.

9. YARD ORGANISER RESPONSIBILITIES
9.1 Where a yard organiser books a visit or registers horses on behalf of multiple owners, the yard organiser is responsible for ensuring that each horse owner has been made aware of the booking, these Terms & Conditions, and our Privacy Policy.
9.2 A yard organiser must not submit personal data (names, email addresses, phone numbers) of any individual without that individual's prior consent. By submitting another person's data to us, the yard organiser confirms they have obtained that consent.
9.3 The Horsebox Spa accepts no liability for any breach of data protection law arising from a third party submitting personal data without the appropriate consent. Responsibility for obtaining that consent lies solely with the person who submitted the data.

10. CANCELLATION & RESCHEDULING POLICY
We understand that circumstances change. Our cancellation tiers are as follows:
Tier 1: Cancellation before route planning closes (Sunday 6pm of the week before your appointment)
No charge. Please cancel online as early as possible so your slot can be offered to someone else.

Tier 2: Cancellation after routes are planned, but more than 48 hours before your appointment
No charge, however we ask that you make every effort to give us as much notice as possible. Route replanning takes significant time and affects other customers' appointment times.

Tier 3: No show or cancellation within 48 hours of your appointment
A late cancellation fee applies:

Within 48 hours: 100% of your total treatment cost
Bank details for fee payment will be provided.

Tier 4: Welfare and compassionate cancellations
No cancellation fee will ever be charged where cancellation is due to:

10A. SALT THERAPY COURSE – CANCELLATION POLICY [NEW]
Salt therapy courses have a separate cancellation policy to single-day bookings due to the 3-day commitment involved.
Before bookings close (Sunday 18:00 before your course week)
You may transfer the course to another date once, or change it for treatments of equivalent value. The 50% deposit is non-refundable.
After bookings close (Sunday 18:00 before your course week)
The course is non-transferable and payment is required in full. This includes all 3 salt therapy sessions and any additional treatments booked across all 3 days. Out-of-zone charges are not payable if the course is cancelled (as we will not be travelling).
Welfare and compassionate cancellations
Horse PTS: If the horse is put to sleep, no charge applies regardless of timing.
Biosecurity lockdown: If your yard is under lockdown due to a disease outbreak (whether notifiable or non-notifiable, such as strangles), the cancellation charge will be refunded in full once we receive supporting evidence from your veterinary practice. Acceptable evidence includes a vet’s letter, an email confirming the outbreak, or an invoice for treatment relating to the disease.
10B. SALT THERAPY COURSE – DEPOSIT
A non-refundable 50% deposit is required to secure your salt therapy course dates. The deposit covers your 3 salt therapy sessions and excludes out-of-zone charges.
Course dates are not confirmed until the deposit is received. A payment link will be sent via email after you submit your booking. Payment is required within 48 hours. If not received, your provisional dates will be released.
The deposit is non-refundable regardless of the reason for cancellation, except where The Horsebox Spa cancels (see section 10C).
10C. SALT THERAPY COURSE – CANCELLATION BY THE HORSEBOX SPA
If we need to cancel your salt therapy course due to weather, vehicle issues, illness, or an emergency, we will offer you a full refund or rescheduled dates, whichever you prefer.
10D. SALT THERAPY COURSE – FACILITY REQUIREMENTS
Salt therapy requires an enclosed space. Suitable facilities include stables, horseboxes, and trailers. Barns and American barns are not suitable.
You are responsible for ensuring:

The facility is clean, accessible, and ready at your appointment start time on all 3 days

The horse is available and ready at the appointment start time

Any openings (top doors, windows, vents, grills) are covered before we arrive

Access to mains electricity within 40 metres (a heater is required to maintain a dry atmosphere)
If electricity is not available, the treatment can still proceed on battery power, however you accept that results may vary depending on atmospheric conditions.
For horsebox and trailer treatments, salt is corrosive to metal surfaces. After each session you must wash down all interior surfaces with fresh water, leave doors and vents open to air dry fully, and not close the vehicle while wet. The Horsebox Spa accepts no liability for corrosion damage resulting from failure to follow aftercare instructions.
Trailers must be hooked up to a vehicle and in position before we arrive. We are not able to move trailers.
10E. SALT THERAPY COURSE – FLEXIBILITY ON OUT-OF-ZONE DAYS
On your zone day, you may let us know if you have time constraints. On the other 2 out-of-zone days, you must be fully flexible between 08:00 and 18:30. Your appointment time will depend on our route and will be confirmed on the Monday of your course week.

11. BOOKING, UPDATES TO BOOKS AND CANCELLATION DEADLINES
All changes and cancellations must be submitted online before 6pm on the Sunday of the week before your appointment. This is when routes are planned.
After routes are planned and appointment times have been issued, our late cancellation terms apply.

12. PAYMENT
We accept cash and card only.
Strictly no bank transfers due to the time costs of administering and chasing payments.
Payment is due at the conclusion of your appointment.

12A. SALT THERAPY COURSE – PAYMENT
Salt therapy course deposits are payable online via a secure payment link (processed by Stripe). The remaining balance and any out-of-zone charges are payable at or before your first appointment.

13. ADVERSE WEATHER
For health and safety reasons, appointments may be cancelled or rescheduled at short notice where weather conditions are unsuitable for working safely outdoors or operating electrical equipment. This includes heavy rainfall, lightning, high winds and gusts, assessed at our discretion on a case-by-case basis. We will contact you as soon as possible in this event.

14. DISEASE & BIOSECURITY
You must inform us in advance of your appointment if your horse or any horse at the yard has, or is suspected of having, a contagious disease, fungal, skin or parasitic condition (including lice or mites). We reserve the right to cancel or reschedule without charge in these circumstances.

15. COMMUNICATION

16. LIABILITY
16.1 The Horsebox Spa takes all reasonable care in providing its services. We are fully insured. We do not accept liability for incidents caused by a horse's behaviour, inadequate handling, or failure to disclose relevant health or temperament information prior to the appointment.
16.2 The Horsebox Spa shall not be liable for any adverse outcome arising from weight guidance, body condition scores or wellbeing recommendations where the horse owner or their representative has failed to provide complete and accurate health information at the time of registration or prior to the appointment.
16.3 Nothing in these Terms limits or excludes our liability for death or personal injury caused by our negligence, or for fraud or fraudulent misrepresentation.

17. GOVERNING LAW
These Terms of Service are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the English courts.

18. CHANGES TO THESE TERMS
We reserve the right to update these Terms at any time. Continued use of our services constitutes acceptance of the current Terms. We will flag material changes on our website.
