TERMS & CONDITIONS AND GDPR

Thank you for choosing The Horsebox Spa. Please ensure you read and understand our Terms & Conditions which also includes important information on how to get the most from your appointment. By making a booking with us, you accept and agree to the following terms. Please check this page regularly, as these terms are subject to change without notice.

SCOPE OF SERVICE

The Horsebox Spa offers grooming and spa pampering services.  We do not diagnose, advise or treat medical conditions.  If you have any health concerns about your horse please consult your vet.


TRAVEL

Travel zone is up to 75 mile radius from TN5 7DG

No travel costs apply within a  5 miles of our base TN5 7DG.  Thereafter £1.00 per mile applies. 

Travel Charges are split equally among number of clients per location.

If we incur toll charges (ie Dartford Crossing) , this is added to the travel charge

We will take the sat nav quickest route even if it is the longest mileage

MIN CALL OUT (from TN5 7DG)

15 miles  |   £40 (weigh, clipping and massage pad only)

31 - 40 miles  |  £110

41 - 50 miles  |  £130

51 - 60 miles  |  £150

YARD MANAGERS CONSENT

Service is subject to Yard Managers consent which must be obtained in advance at the point of booking


ACCESS TO PROPERTY, PARKING, WATER, ELECTRICITY & SAFETY 

Service is subject to access to property, adequate parking, access to a mains water tap and mains electricity.

Our mobile unit is the size of a standard van horsebox with an additional  4 meter X 3 meter outdoor work area to BOTH sides.  Please ensure there is an adequate access and a safe space for us to park.

To provide bath spas at your premises access to water via an outdoor tap is required within 75 meters of our permitted work area.

To provide solarium and wash down heater services we will require access to mains electrics within 25 meters of our permitted work area. 


Where mains electrics are not available we will use our generator but this will incur a small surcharge to cover its operating and fuel costs ( £3 per 30 mins)  Surcharges vary according to spa duration and equipment used (solarium and wash down heaters).  Not all services and treatments require electricity.  

For safety reasons, children and dogs are not permitted around the spa. 

When spa is in progress only Allie and the horses handler are permitted in the work area.

 

SETTING UP & PACKING AWAY

It takes approx 45 mins to set up and prepare the spa / work area.  Please allow adequate time for this when booking your appointment.

We follow stringent bio security, parasitic control and hygiene processes. It takes approx 45 mins to pack away equipment, disinfect and insecticide the horsebox / wash down area and equipment. When you book a treatment consent is given to allow us extra time for this.  You also consent for us to use your water for this purpose.  

RUG WARMING

This service is offered to yards with an under cover area with mains electrics that we can hook our radiator up to

BOOKINGS & ALTERATIONS TO SERVICE
We recommend booking in advance to avoid disappointment.

We allocate time and budget depending on the service you have requested.  Please give us as much notice as possible if you wish to vary the service booked as we may not be able to accommodate a change in service if there is insufficient time available on our schedule.  Similarly, if you/your horses(s) are not available at your booked time causing your appointment to start late, a lesser service may be performed at full charge of the original service booked.  Clients who cancel last minute or if we arrive onsite an the client or horse is not available, all future booking  for that client will require upfront payment for services booked as well as being subject to a cancellation fee.

 

PAYMENT
We accept cash and card payment. Please pay immediately at the conclusion of your service.  Payment by bank transfer can also be arranged at our discretion on a case-by-case basis but this must be paid upon immediate receipt of invoice


RESCHEDULING & CANCELLATIONS
For cancellations made within 24hr of your appointment or if we attend to find you/your horse(s) are not available a charge of 50% of the service booked will apply. 

This is payable before you may reschedule.  Even though you may reschedule to another time, cancellations are difficult to fill at short notice and result in a financial loss.


ADVERSE WEATHER AND DRIVING CONDITIONS
For health and safety reasons, your appointment may be cancelled or rescheduled at short notice where weather conditions are unsuitable for grooming and operating electrical equipment. As a general guide, this includes, heavy rainfall, lightning and high winds/gusts – assessed on a case-by-case basis at our discretion.


DISEASE & ILLNESS
You must inform us in advance of your appointment if you discover your horse has a contagious disease, fungus, skin or parasitic (lice/mites) condition.


CLIPPING

Horses must be clean, dry and ready for clipping.  By clean we mean bathed within a week prior to clipping appointment so your horse is dust and scurf free.  This is not only in our interest to preserve our blades but you will see a better clip result.  Your horse will also benefit from a more comfortable clipping experience.  Be aware that a dirty coat can cause the blades to tug the hair and overheat the blades. 

Clips that take longer than average to complete may incur an additional charge.

If your horse requires sedation for clipping, please consult with your vet to arrange prior to booking.

Face/ Ears Clipping – only if your horse allows us to do so.

We advise clients to hot cloth or wash their horse immediately after their clip to remove lose hair and clipper oil residue which can irritate the skin and in some circumstances result in a rash.  Bathing or hot clothing can minimize this risk of skin irritation. 

 

GIFT VOUCHERS

​Any gift voucher amount must be spent in full and any amount remaining will not be carried forward or refunded

Gift vouchers cannot be exchanged for a cash amount

​Gift vouchers cannot be returned or refunded, except in accordance with your legal rights

Gift vouchers cannot be used in conjunction with any other discount codes 

The Horsebox Spa reserves the right to refuse to accept a gift voucher which it deems to have been tampered with, duplicated, damaged or which otherwise is suspected to be affected from fraud.

Gift vouchers are subject to our minimum call out fee and Travel Charge terms.

COMPETITIONS

Spas or spa discounts won in competitions or raffles:

-  must be spent in full and any amount remaining will not be carried forward or refunded

-  cannot be exchanged for a cash amount

-  are subject to  your Yard Managers consent 

-  horse must be located no further than a maximum distance of 75 miles  from TN5 7DG.

PHOTOGRAPHY & SOCIAL MEDIA
You are welcome, and encouraged, to take photographs of us and your horse(s) to share positively with your friends, family and social networks. From time to time we will use photographs taken during our service on social media or our website which may identify your horse(s) by first name only.  Please inform us at the time of your appointment if you do not want your horse(s) to be featured or photographed.

 

REFUSAL OF SERVICE
We reserve the right to refuse service at the time of booking or scheduled appointment time.

The Horsebox Spa makes every effort to accommodate clients within our service areas, but may choose to decline a booking request or discontinue your service at our discretion. Reasons we may choose to do so include, a lack of parking or extreme difficulty accessing your property, repeated late payments/rescheduling/cancellations, actual or perceived inability to provide the service you have requested due to your horses(s) health or behaviour.

We try to get you to read our web site by showcasing our services and creating copy that is useful for you. To get some feedback on whether this is working, we monitor the volume of visitors to our website, how you found us, what page you were on before arriving at our site and which pages you view when visiting our site. We do not harvest or collect email addresses from website visitors. If you don’t contact us and give us your email, we don’t have your details. 

We use IP addresses to analyse trends, administer the site, track user’s movement, and gather broad demographic information for aggregate use. IP addresses are not linked to personally identifiable information. Additionally, for systems administration, detecting usage patterns and troubleshooting purposes, our web servers automatically log standard access information including browser type, access times/open mail, URL requested, and referral URL. Like most interactive websites, this Company’s website uses cookies to enable us to retrieve user details for each visit. Cookies are used in some areas of our site to enable the functionality of this area and ease of use for those people visiting.  You can disable cookies in your browser if you don’t want us to collect them.


Personal data, downloads and services

If you contact us using our ‘Contact Us’, 'Quote' or 'Registration' form we will record your details in our systems, so we can get in touch with you to respond to your query.   If you asked to be subscribed to a particular newsletter you will be added to that list. Any automated email sent to you will have an unsubscribe option on it that you can select at any time.  You can also ask that Tania does not send you any personal emails either.

We may contact potential or existing clients from time to time to see if we can be of assistance.   We are not a hard sell organisation. This is normally because you have requested a call, or because we are actively trying to let you know about something you may benefit from.  We ask you to contact us if your personal data changes so that our records can be appropriately updated.


Financial and credit card details

If you pay us for our services by credit card, we use an external secure processor. We do not receive your credit card details. We do not take telephone payments and the only way to pay us by credit card is online via that secure processor.


If you pay us by BACS or direct transfer, we know only what the bank identify – usually the name of the person who paid us and how much and the reference number. We do not keep credit scores.

Data Sharing

We do not sell or exchange the data we hold with organisations who may want to sell you something or use your data for research or other purposes.    Nor are we planning to do so.   In the unlikely event, we did decide to exchange lists with another organisation, we would obtain your permission first by asking you to ‘opt-in’ to such a system.   Our continuing silence means we are not doing so.  


We have an outsourced book keeping team for our own business.   They have limited access to your data, where the service they provide to us requires it. 

We do not permit copying or sharing by the team and actively monitor for any potential breaches.


Your information/advice is held in the strictest confidence. Our team are all contracted to strict confidentiality and integrity clauses and we monitor and restrict their data usage. We only use mainstream software and we use the most secure login options available to us.


Where is your data located?

In common with most small businesses, we do not have any tailor-made software – we use mainstream packages for everything from our customer records, to email, to accounting.


This means that much of our data is held in services in the USA. We have picked mainstream suppliers with appropriate security standards.


Retention periods

We have a long-term and discreet relationship with our clients and have established relationships that go back many years.   For that reason, we retain information for 7 years from the last point of contact. This allows us to have financial records going back far enough to satisfy HMRC, advice records going far enough back to satisfy our insurers.


If you have contacted us but never engaged our services, your data will remain in our systems for up to 7 years, or from when you have requested that your data be removed.   We clean up our data from periodically to remove client data that is no longer needed.
